Wholesale Invoice Checks: Orders, Receipts and Charges
Match supplier invoices with purchase orders and received goods. Check units, partial deliveries and extra charges before approving a wholesale invoice.
Latent Systems · Published
Compare what was ordered, what was received and what the supplier billed. Use the same product, unit, currency and delivery reference, then send unexplained differences for review. Check your inventory system's purchasing and accounting workflow before adding a custom matching process.
Start with the purchasing records already in your system
An invoice check depends on the receiving process. If a delivery is still unrecorded, comparing the supplier invoice with an old purchase-order balance can produce a misleading exception. Establish who records receipts and which documents show what arrived.
Unleashed already supports purchase orders, inventory receipts and partial deliveries. Its receipting guide explains receiving stock and costs, and highlights supplier references and invoice dates for locating the corresponding accounting bill. Review those native records before deciding a separate application is needed.
Walk through a complete purchase with the warehouse and accounts teams. Identify any remaining manual step: finding the correct receipt, checking a price change, resolving a quantity difference or collecting approval. That remaining job gives the project a clear purpose.
Match invoice lines on the same basis
Keep the purchase-order reference, supplier invoice number, product code and receiving reference. A supplier's description may differ from your stock description; agree a product mapping instead of relying on a close text match.
Normalise units only with an approved conversion. A carton price and an each price can both be correct, while referring to different quantities. Retain the original unit and amount so the reviewer can see how the comparison was made.
| Check | What to establish |
|---|---|
| Product and unit | The supplier line maps to the agreed stock code and purchasing unit. |
| Received quantity | A partial delivery is linked to its actual receipt and remaining order balance. |
| Price | The comparison uses the agreed order or approved price change. |
| Currency and charges | Currency, tax treatment and additional charges are compared on a consistent basis. |
| Duplicate | A repeated document is checked against supplier and invoice references. |
Separate a real discrepancy from an incomplete match
A difference may reflect a split delivery, an approved substitution, a separate freight charge or a receipt that has not been entered. The check should expose that context and leave the decision with the responsible person.
Show the invoiced quantity and price beside the matched order and receipt values. Label an unmatched line as unmatched. An unavailable receipt must not become a zero-quantity delivery, and an unidentified product must not be silently assigned to a similar stock code.
Record the review outcome: accepted with an explanation, sent back to the supplier, awaiting receiving information, or ready for the normal payment-approval process. A flag should lead to a named action rather than another spreadsheet nobody owns.
Scope a read-and-review workflow first
The Unleashed purchase-order API documentation is a starting point for confirming which order information an application can retrieve. Confirm access to receiving and accounting records separately; the required comparison may span more than one system.
Use document extraction to propose fields for review, then compare them against the agreed records. Keep the source document and its references available. A low-confidence extraction should remain a review task instead of becoming an approved bill.
Test a clean invoice, a split receipt, a revised price, a duplicate upload and a connection failure. Compare the resulting list with the accounts team's current checks. Any later write-back needs a separate agreement covering approvals, repeat processing and how the saved result is verified.
