Freight POD and Invoice Checks Before Closing a Job
Find freight deliveries with missing proof of delivery or billing records. Check TMS status, customer rules and invoice links before treating a job as closed.
Latent Systems · Published
Join the consignment, required delivery evidence, agreed charges and customer invoice records using stable references. Check whether a job is genuinely ready for billing under that customer's rules. Surface missing links and exceptions to the transport and accounts teams before closing the review.
Check the TMS workflow before adding another process
Start by reviewing your transport management system (TMS). A transport job passes through several states: booked, dispatched, delivered, charged and invoiced. A delivery status on its own does not answer every billing question. Establish which evidence and approvals the customer requires and where the team checks them today.
CartonCloud's TMS documentation describes electronic proof of delivery and automated invoicing as existing features. Start with those capabilities and the account's configuration. The question is which deliveries still need attention after the normal workflow has run.
Trace one completed job through the consignment record, delivery document and customer invoice. Include any carrier or customer reference used outside the TMS. A clear record trail makes it possible to distinguish an unbilled job from a job that is already included in a consolidated invoice.
Keep delivery evidence and billing records distinct
CartonCloud documents invoice photos submitted as part of a POD. A document image used to support delivery and the customer billing record have different purposes. Check both relationships instead of assuming that a file labelled invoice proves the customer has been billed.
Agree what counts as sufficient delivery evidence for each customer and service. A missing signature, an unreadable attachment and a document linked to the wrong consignment require different follow-up. The exception list should explain which condition it found.
Transport organisation settings include document-visibility options. Confirm who is meant to see a POD before attaching or forwarding it outside the existing workflow. Keep customer and carrier communication under the team's control.
Compare the billing link and its current state
| Check | What to establish |
|---|---|
| Consignment | The source job and customer references identify the same delivery. |
| Evidence | Required POD information is present, readable and linked to that job. |
| Charges | Expected charges and approved extras are available for the billing review. |
| Invoice link | The delivery is connected to the relevant customer invoice or billing batch. |
| Exception state | Draft, disputed, cancelled or otherwise unresolved records stay visible to their owner. |
Check the actual billing arrangement. A monthly invoice can include several deliveries; a split movement can involve several operational records. The comparison needs to preserve those relationships rather than enforcing a single invoice for every delivery.
Distinguish the existence of an invoice from its readiness for issue. Agree which billing statuses the team treats as complete and which remain an open task. Keep any dispute or approval reason with the record.
Build an exception list the team can work through
Give each item an owner, source links, the reason it appeared and the next action. For example, operations may need to verify delivery evidence while accounts checks an invoice link. Keep dispatch decisions and rate disputes with the people responsible for them.
If source data is unavailable, show the last successful check and mark the affected records as unconfirmed. Do not report that every delivery is invoiced when the invoice connection has failed.
Test a normal delivery, a missing POD, a consolidated invoice, an amended charge and a repeated import. Compare the list with the TMS and accounts team's existing review before relying on it. A separate connection earns its place when it resolves a documented gap and can be checked against the original records.
