Manufacturing Job Costing: Quoted Versus Actual Costs
Compare quoted and recorded manufacturing job costs while work is open. Separate actual labour, billable labour, materials and costs still to arrive.
Latent Systems · Published
Keep the accepted quote as a baseline and compare it with recorded materials, actual labour and approved changes on the same job. Show costs that are still estimated or missing separately. The operations team needs the reason for a variance and the records behind it before deciding what to change.
Start with the job and costing records you already hold
The useful question during production is which open job needs attention and why. A final margin report may answer what happened after completion, while an operations review needs to identify a developing difference soon enough for someone to investigate it.
Jim2's published manufacturing help describes manufacturing jobs, the stock consumed in production and recorded labour. Review the native job information and reporting first. A new view should address a defined remaining decision rather than duplicate a screen the team already uses.
The linked Jim2 documentation is versioned. Confirm the installed version, configuration and available fields before scoping a connection. Screens and reports visible in the application are not, on their own, proof that a separate application can retrieve the same information.
Preserve the quote and approved changes
Keep a reference to the accepted quote and the version being used as the baseline. Record approved variations separately. Replacing the original estimate with a later figure can conceal the difference the review was meant to explain.
Compare the same scope and units. A material quantity change, an alternative component and a changed labour allowance are different reasons for a cost movement. Retain those reasons beside the figures so the production manager can check the underlying job.
Confirm which costs the job report includes: materials, actual labour, subcontracting and any agreed overhead allocation. If a category is excluded, label the comparison's scope so a partial view is not mistaken for the full job cost.
Agree the treatment of costs still to arrive. An open purchase commitment, an estimated amount and a recorded cost should remain distinguishable. An incomplete job should not appear fully costed because an import returned an empty result.
Separate actual labour from the labour sold
Jim2's labour documentation distinguishes billable labour in the job's stock grid from actual time entered on its Labour tab. Use the appropriate measure for the question being asked, and confirm how the business values time in its reports.
Ask who records time, when it becomes available and how corrections are approved. A job can look within its labour allowance simply because the latest shift has not been entered. Display the reporting cut-off and any known missing entries.
| Check | What to establish |
|---|---|
| Baseline | The accepted quote and approved variations are identifiable. |
| Materials | Quantities and recorded costs belong to the correct job and unit basis. |
| Labour | Actual time and billable labour remain distinct and their valuation is explained. |
| Outstanding costs | Estimates, commitments and missing information remain visible. |
| Decision | The variance has an owner, a reason to investigate and source records to inspect. |
Flag the reason for a variance and keep decisions with the team
Agree review thresholds with the business rather than treating every difference as a fault. A small change on one line may be expected, while a late material cost or unapproved variation may need prompt attention regardless of the current total.
Show the quote allowance, recorded amount, outstanding information and source references together. An alert should help the reviewer decide whether the cause is changed scope, an estimating assumption, a recording error or an operational issue.
Keep pricing, scheduling and customer communication under the team's authority. An application can identify and explain a difference without changing a quote or moving production automatically.
Validate the proposed view against a completed job and a job still in progress. Repeat the comparison after a late cost, a time correction and an approved variation. Use a custom connection only when the remaining visibility gap is clear and the result can be reconciled with the native records.
